Enabling Auto Book & Release

In this article, you will see how to enable Auto Book and Auto Release for rooms using Logitech Room Booking. This enables rooms to automatically book and release meetings based on activity within the space ensuring rooms are reserved when in use and rooms become available when booked but unoccupied.

Prerequisites

  • You will need to be logged in as an administrator in Sync with Admin privileges. More information can be found here: Sync Admin Guide.

  • You will need to have a Logitech Room Booking set up on the rooms that you want to enable Auto Book and Auto Release in. More information on setting up Logitech Room Booking can be found here: Getting started with Logitech Room Booking

  • In addition you will need to have hardware that supports people detection in and out of meetings in your room. Currently supported hardware are Rally Bar and Rally Bar Mini.

Enable “Insights with Sync Plus or Logitech Select”

To allow your Rally Bar or Rally Bar Mini to detect people in and out of meetings you will need to enable “Insights with Sync Plus or Logitech Select” for your rooms. This is done within the settings for your Rally Bar or Rally Bar Mini in your individual rooms. See the steps below that show how to enable this at the room and group level.

Group settings

  1. Log into your Sync account at sync.logitech.com.

  2. From the left side menu click on the “Settings” options under “Meeting Rooms”.

  3. Then select the group of rooms that you wish to enable this settings for from the left side menu.

  4. With the group selected, under “Device settings” select your Rally Bar or Rally Bar Mini’s to open up the settings for that group of devices.

  5. Navigate to the “Settings” tab and scroll down until you see “Insights with Sync Plus or Logitech Select”. Enable this setting and set it to “Always on”.

Individual room settings

  1. Log into your Sync account at sync.logitech.com.

  2. From the left side menu click on the “Inventory” options under “Meeting Rooms”.

  3. Select a room with a Rally Bar or Rally Bar Mini.

  4. From the room settings, select your Rally Bar or Rally Bar Mini’s “System” settings.

  5. Then expand the “Insights with Sync Plus or Logitech Select” option, enable it, and choose the “Always on” options. This will allow the device to detect a change in room occupancy in and out of meetings.

Enable Auto Book and Release

To enable Auto Book and Auto Release from the Logitech Room Booking settings. Once this is complete you are all set up and your room will start automatically booking meetings when users are in the space and releasing meetings when it is scheduled and no one is in the room. 


  1. Log into your Sync account at sync.logitech.com

  2. From the left side menu click on the “Settings” options under “Meeting Rooms”.

  3. From “Settings” select “Logitech Room Booking settings” from the top of the window.

  4. Scroll down the list of settings until you see Auto Book and Auto Release and enable them.

  5. Once enabled you will see additional options for you to customize the Auto book and Auto release experience.

    1. Auto book

      1. Book after: The space is automatically reserved after people have been detected in it for this amount of time.

      2. Book for: When the space is auto-booked, it's reserved for this amount of time.

    2. Auto release

      • Check-in Required: If enabled, meeting participants must check in on Tap Scheduler at the start of their reservation to keep their meeting time. If participants in the room fail to check in before the “release meeting after” time, then the room will release the room and be made available to others.

      • Release meeting after: If no one is detected in the space for this amount of time or the organizer has not checked in, the room will be released. To use presence to release meetings the room must be equipped with supported hardware. 

      • Release meeting series: If no one is detected or no one has checked in for a number of consecutive recurring bookings, the series is automatically declined by the room.

        • Missed meeting count: If no one checks in or is present in the room for this number of consecutive recurring bookings in the room, then the entire meeting series will be removed from the room’s calendar.

      • Release meeting early (presence only): After no one is detected during an active booking for this amount of time, the booking's end time is adjusted and the space is made available. Using presence to end meetings early requires supported hardware.

  • Do I need to use Logitech Room Booking for room scheduling outside my rooms to take advantage of the Auto Book and Auto Release features?

    • No, you can use Auto Book and Auto Release without having Logitech Room Booking running on a Tap Scheduler for your rooms. However, you will need:

      • A Sync Essential or Select license

      • Calendars connected and linked to rooms in Sync

      • Supporting hardware (Rally Bar or Rally Bar Mini)

      • Auto Book and Auto Release enabled under "Room Booking settings" in Sync
