Managing room booking policies
This article will explain how to manage room booking policies for your organization.
Prerequisites
To follow this guide you will have at least one room set up in Sync, and be logged in as an administrator in Sync with Admin privileges. More information can be found here: Sync Admin Guide.
Room booking policies
Log into your Sync portal and navigate to Meeting Rooms>Settings.
Click “Booking settings” from the top of the page.
Adjust the policies as needed.
Policy Definitions
Allow ad-hoc bookings: If enabled, users can book a meeting room directly from its Tap Scheduler. From here administrators can also set the default booking options that are displayed on Tap Scheduler.
Booking times: These are the times made available to users when booking the room from Tap Scheduler.
Show upcoming reservations: If enabled, a list of upcoming reservations will be shown.
Show meeting titles: If enabled, reservation titles will be displayed.
Show tentatively accepted bookings: If enabled, bookings that are tentatively accepted by the room will be shown.
Room Name: Select whether you want to display the Sync room name, Sync room alias, connected calendar name for rooms.
Show users on maps: When enabled this will show users with a booked desk on Logitech View.
Follow viewing orientation: Shows maps on devices with the viewing orientation set in the map editor when enabled. If disabled maps will be shown in the orientation they are uploaded with.
Auto Book (learn more)
Book after: The space is automatically reserved after people have been detected in it for this amount of time.
Book for: When the space is auto-booked, it's reserved for this amount of time.
Auto Release (learn more)
Check-in Required: If enabled, meeting participants must check in on Tap Scheduler at the start of their reservation to keep their meeting time. If participants in the room fail to check in before the “release meeting after” time, then the room will release the room and be made available to others.
Release meeting after: If no one is detected in the space for this amount of time or the organizer has not checked in, the room will be released. To use presence to release meetings the room must be equipped with supported hardware.
Release meeting series: If no one is detected or no one has checked in for a number of consecutive recurring bookings, the series is automatically declined by the room.
Missed meeting count: If no one checks in or is present in the room for this number of consecutive recurring bookings in the room, then the entire meeting series will be removed from the room’s calendar.
Release meeting early (presence only): After no one is detected during an active booking for this amount of time, the booking's end time is adjusted and the space is made available. Using presence to end meetings early requires supported hardware.

Skip Auto Release for long meetings: Meetings that are as long or longer than the set time will not have Auto Release settings applied to them.
Require a PIN code to access system settings: If enabled, a PIN code will be required to open the system settings on devices running Logitech Room Booking.
Custom Backgrounds: Administrators can choose to display a custom image as the background on Tap Scheduler. Once an image is uploaded admins can choose how to display it and see how it will look outside the room. This can be set at a group level, or for individual devices from room settings.
