Set up Google Calendar integration with Sync

This article will walk you through the process of setting up a calendar resource in Google. Calendar resources are essential for Logitech Room Booking as it is the calendar that you will assign to your rooms and what will allow users to book time in each room.

Prerequisites

When you configure the Logitech Room Booking connection to Google Calendar you will need admin access to Google Workspace for your organization. If you do not have this please work with your IT team.

You will also need to be logged in as an administrator in Sync with Admin privileges. More information can be found here: Sync Admin Guide

Create a service account user

Login in as a company admin in Google Workspace. Set up a new user within your domain in Google that can act as the service user. Setting up a user will require that you have available licenses in your Google Workspace account.

Create room resources (optional)

While still in your Google Workspace admin console, go to Menu -> Directory -> Buildings and resources. If you haven’t already created a building, that’ll be the first step. 

  1. In the resource management section, click Open. 

  2. At the bottom of the page, click Manage Buildings

  3. Click +Add New Building

  4. Enter the building information and click done

Thereafter you can go ahead and create your room resources.

  3. Select type as “Conference room” and enter resource information

  4. Click Add Resources

Note: You cannot add room resources without a building. You will also need to ensure that on the calendar settings page for the calendar, under the "Auto-accept invitations" section > select “Auto-accept invitations that do not conflict” is selected.

Give access to calendars in Google

Go to calendar.google.com (make sure you are still logged in as a company admin). Go to Settings (top right corner) and in the left column, click on the calendar(s) you want to share with Logitech Room Booking.  (If you do not see the resource calendars in your list, you may need to subscribe to their calendars first) Then go to “Share with specific people” add the service account created above and choose “Make changes to events”.  

(If you do not see the sharing settings, you do not have the correct admin privileges)

Subscribe to calendar(s) in Google

Go to calendar.google.com (make sure you are logged in as the service account you created in the “Create a service account” section). On the left list, find and click on "Other calendars" and "Browse resources". Check all the calendars you want the service account you are logged in with to have access to.

This step is needed so that Sync can find and import the rooms

  1. Open the following link: https://sync.logitech.com/login and enter your admin email and password to log in.

  2. Then go to System>Calendars

  3. From here you will see an option to “Connect your Service Account”.

4. Click on “Connect your Service Account” and then select Google as your service provider

5. Once you have selected your service provider you will be taken to the sign-in flow. Please make sure to log in with the service account you created in the “Service account” section above.

6. Once you have successfully completed the sign-in flow for your Google Workspace service account you will see the service account listed in Sync.

  • Note: If there are changes to your service account that require you to re-authenticate or re-import the resources calendars, these actions can be done from this page.

7. Now you will be able to click on the “Resources” tab to see a view with all of the resources calendars that your service account has access to. From here you can view and manage the rooms that are linked to each resource calendar.

8. You have now successfully integrated your calendar with Sync and are ready to start linking these resource calendars to rooms.
