Set up O365 Calendar integration with Sync

This article will walk you through the process of setting up a calendar resource in O365. Calendar resources are essential for Logitech Room Booking as it is the calendar that you will assign to your rooms and what will allow users to book time in each room.

Prerequisites

When you configure Logitech Room Booking connection to Office 365 you will need access to Office 365 Admin. If you have access you will be able to choose Office 365 Admin in the top left corner when logged into your Office 365 account. If you do not have access to Office 365 Admin you may need to contact your IT department.

You will also need to be logged in as an administrator in Sync with Admin privileges. More information can be found here: Sync Admin Guide

Service account

Start by setting up an Office 365 user account. Our recommended license for the user is "Exchange Online Plan 1", but any Exchange enabled license will work.

This account will be used by Logitech Room Booking to connect to O365 so it will be visible when someone books a meeting directly on the tablet. Give it an intuitive name, for example, “Direct booking”.

Create room resources in O365

The next step is to configure a room resource for each room you have. If this is already in place you can skip this step.

  1. Connect to Exchange Admin Center and navigate to Recipients > Resources in the left menu.

  2. Click on  +Add a room resource

  3. Give a name to the room and a unique email address.

Click next -> next -> create and repeat for all the rooms you want to book through Outlook

Give the service account access to the rooms in O365

The service account will need full access to the room resources.

You can give full access through Exchange Admin Center  and (Recipients > Resources), click on a room to open it, and in the popup window choose the menu option “Delegation” and in the last section “Read and manage (Full Access)”, you click edit->add members and add the service account you created in the “Service account” section.

Please note that it can take up to 24 hours for the permissions to sync in Office 365.

O365 calendar integration in Sync

  1. Open the following link: https://sync.logitech.com/login and enter your admin email and password to log in.

  2. Then go to System>Calendars

  3. From here you will see an option to “Connect your Service Account”.

4. Click on “Connect your Service Account” and then select O365 as your service provider

  • Note: We do not currently support Microsoft on-prem solutions.

5. Once you have selected your service provider you will be taken to the sign-in flow. Please make sure to log in with the service account you created in the “Service account” section above.

6. Once you have successfully completed the sign-in flow for your O365 service account you will see the service account listed in Sync.

  • Note: If there are changes to your service account that require you to re-authenticate or re-import the resources calendars, these actions can be done from this page.

7. Now you will be able to click on the “Resources” tab to see a view with all of the resources calendars that your service account has access to. From here you can view and manage the rooms that are linked to each resource calendar.

Note: If no rooms are imported, then you need to ensure that the service account has been delegated full access to the rooms and then try again

8. You have now successfully integrated your calendar with Sync and are ready to start linking these resource calendars to rooms.
