Remote UI Access allows you to securely interact with CollabOS devices remotely, including the ability to see and interact with the display(s) and controller (if any), removing the need for physical on-site presence for troubleshooting or configuration. CollabOS 1.12 introduced Sync Remote UI Access support, complementing the GoTo Resolve support added in CollabOS 1.10. For more information on GoTo resolve setup, click here.
Sync Remote UI Access is streamed over the local network and does not require Internet access.
Prerequisites
Supported devices: Rally Bar, Rally Bar Mini, Rally Bar Huddle, Rally Board 65, RoomMate, Tap IP, Tap Scheduler and Dock Flex.
CollabOS version 1.12 or greater.
The device must be connected to an IP network with either wired Ethernet or WiFi.
Local Network Access (LNA) must be enabled on the device.
The device must be provisioned in your Sync account.
See Firewall and Proxy Setup Information for Sync for more information.
By default, only the Sync account owner and admin can access the Remote UI Access feature. You can adjust user management settings to grant access to other users.
You must be on the same IP network as the device to use this feature.
If a VPN is required to access the IP network where your device is connected, ensure it's active before starting.
Supported browsers: Google Chrome for Windows or macOS
Capabilities
Remote UI sessions provide video and touch control for up to three (3) external displays and one (1) Tap Cat5e kit
If your system is deployed with one or more Tap IPs, you must connect to the Tap IP(s) directly in separate browser tabs or windows.
When the remote UI session begins, an audio notification will play through the device’s speaker to alert users in the room.
During the remote UI session, device displays will have a red border and a notification message at the top of the display. In-room users can end an active remote UI session directly from the controller, if one is available.
Quick access buttons are available in the remote UI session browser window to provide access to CollabOS device settings.
Note: service provider application settings (e.g. Microsoft Teams Rooms on Android admin settings) are not accessible via quick access buttons, but remain available through on-screen controls in the remote UI session.
Note: if you navigate away from your Remote UI Access session (e.g. by using the quick access buttons), your session will terminate. You may restart your session by clicking the Remote UI Access UI tab, then the Start session button.
Remote UI session audio is not currently available.
Instant Trial Period and Subscription
All CollabOS devices come with a 30-day instant trial for Sync Remote UI Access, which can be activated upon first use. After the trial, a Select or Essential subscription is necessary for continued access. Please contact one of our reseller partners for more details.
Existing Select or Essential subscribers may use Sync Remote UI Access on all compatible devices in a room with an associated license.
User Access Control and Access Codes
By default, Sync Owners and Admins can access the Remote UI Access feature. Either the Owner or Admin can grant access to other Sync users within the organization's user settings.
Authorized users will typically initiate a Remote UI Access session directly from the Sync portal. The device-specific access code will be seamlessly transferred to the device at that moment, and the session will start.
If you wish to initiate a Remote UI Access session from the Local Network Access (LNA) interface, an authorized Sync user must first generate an access codes within the Sync portal. The access code may then be manually entered in the LNA interface to begin the session. This security mechanism ensures that only authorized users may initiate a Remote UI Access session from the LNA interface.
Sync portal’s room activity log will capture whenever a user starts a Remote UI Access session or generates an access code.
Remember:
Access codes generated for Remote UI Access sessions are device-specific.
Access codes expire after 15 minutes.
Access code validation depends on accurate device time. Configuring your device to a custom date and time, or NTP sync failures that lead to an inaccurate system date and time, could cause the device to consider an access code to be expired.
Remote UI Access implements access code brute force attack prevention measures. Ten (10) sequential failed access code attempts will disable Remote UI Access for ten (10) minutes.
After 30 minutes of inactivity, you'll be logged out of Remote UI Access.
Only one (1) Remote UI Access session may be active at any time. If a user’s session is in progress and a second user attempts to begin a new session, the first user is automatically logged out and the second user assumes control.
Access codes can be used to initiate a Remote UI Access session from Local Network Access (LNA) when a device does not have Internet access. However, devices must be provisioned to Sync beforehand, which requires Internet access.

Using Remote UI Access
Frequently Asked Questions
Why can't I access my device after clicking the “Start Remote UI Access Session” icon in Sync?
Consult the Prerequisites section above. Ensure your device is connected via wired Ethernet or WiFi, is on an accessible IP network, and Local Network Access is enabled.
Can two users use Remote UI Access simultaneously?
No, Remote UI Access is designed for single-user use. When a second user starts a Remote UI Access session, the first user is automatically logged out, and the second user assumes control.
Why is my Sync access code failing to validate when I attempt to use it in Local Network Access (LNA)?
Ensure you generated an access code for the correct device, as access codes are device-specific (not room-specific).
Access codes expire after 15 minutes. Make sure the device time is correct, as incorrect device time could cause the system to consider the access code to be expired.
Is simultaneous use of GoTo Resolve and Sync Remote UI access possible?
No, only one service provider can be selected per device. The service provider can be changed anytime by going to Settings > System > Remote UI Access > Change Service Provider.
Note: GoTo Resolve is not supported on CollabOS 2.0.
When I start a Remote UI Access page for a paired Tap IP in the same room, why does it open in a new browser tab or window and require a separate access code?
Tap IP is a standalone device, separate from its paired conference room appliance (e.g. a Rally Bar). As such, it requires a separate Remote UI Access session in a different browser window or tab. If you initiate a Remote UI Access session for a Tap IP from Sync, you will be logged in automatically. However, if you initiate it from the Local Network Access (LNA) interface of a paired device, you must login to the Tap IP’s LNA interface first, before entering the Remote UI Access access code to initiate a session.
